Privacy Policy

Collection and purpose of data processing

We attach great importance to the confidentiality and protection of your personal information. This privacy policy is intended to inform you about how we collect, use, disclose, and protect your data when you use our website and services. By using our website and providing us with your information, you consent to our collection and use of your data in accordance with this privacy policy.

We collect certain personal information that you provide voluntarily, such as your name, email address, telephone number, and other information necessary to provide our services. We may also collect information automatically through the use of cookies and similar technologies when you browse our website. Your data is processed (collected, recorded, used, and stored) on the basis of the treatment contract and statutory requirements, to fulfill the purpose of the treatment and meet the associated obligations. Data is collected by the therapist as part of your treatment. We may also collect the recording of the brief anamnesis conducted for diagnostic and therapeutic purposes. We also receive data from other doctors and healthcare professionals currently or previously responsible for your treatment, provided you have consented to this.

The information we collect is used to provide you with our services, respond to your requests, manage appointments, and keep you informed about our activities and offerings. In addition, this information may be used for statistical purposes and to improve our services.

When you send us an email containing information regarding your care or likely to contribute to improving our practices, its content may be forwarded, in compliance with confidentiality and applicable legal provisions, to authorized members of our quality department. This internal department is specifically responsible for analyzing patient feedback, following up on reported situations, and continuously improving our protocols, our practices, and the quality of our services.

Only data relating to your treatment is processed in your patient file, which includes the personal data appearing on the patient form, such as personal information, contact details, and insurance data, as well as, among other things, the information interview conducted as part of the treatment, collected health data such as medical histories, diagnoses, therapeutic proposals, and results.

Retention period

Your patient record will be kept for 20 years after your last treatment. After this period, it will be retained, erased, or securely destroyed, with your express consent.

Transmission of your data to third parties

We only transmit your personal data, in particular sensitive personal data, to external third parties if the law permits or requires it, or if you have consented to the transmission of data as part of your treatment. This data is transmitted to your health insurance, accident insurance, or disability insurance for the purpose of billing the services provided to you. The type of data transmitted depends on legal requirements. The required patient and billing data are transmitted to the debt collection agency for collection purposes (recovery of due debts). Depending on your treatment and your corresponding consent, data may be transmitted on a case-by-case basis to other authorised recipients (e.g., doctors).

Service providers, hosting, and digital tools

For administrative management, appointment scheduling, billing, and record-keeping, Almaval relies on IT service providers (hosting, administrative management, billing, messaging, and office tools). These service providers act exclusively on our instructions, are contractually bound to confidentiality and professional secrecy, and may not use your data for any other purpose. Your data is hosted in Switzerland and, for certain office and messaging services, with international providers bound by the contractual guarantees provided for by data protection legislation.

Almaval uses artificial intelligence tools to design and automate its administrative tools (document templates, forms, spreadsheets) and, where applicable, to assist in drafting administrative texts. These tools operate under human supervision. No decision regarding clinical care is made in an automated manner. Identifiable health data is only transmitted to systems located in countries recognized by the Federal Council as providing an adequate level of data protection (Annex 1 of the Data Protection Ordinance, list published by the Federal Data Protection and Information Commissioner) or operated by providers bound by contractual safeguards recognized by the Federal Commissioner (standard contractual clauses). Any other transmission requires express consent. You may at any time request that automated processing concerning you be reviewed by an individual.

Information security

We take appropriate security measures to protect your personal information against unauthorized access, misuse, disclosure, alteration, or destruction.

Revocation of consent

Any express consent to the processing of your data may be revoked at any time, in whole or in part. The revocation or request to modify consent must be made in writing. Upon receipt of your written revocation and provided that your data can no longer be processed on a legal basis other than consent, data processing will be discontinued. The revocation does not affect the lawfulness of the data processing carried out prior to said revocation.

Information, consultation, and provision

You have the right at any time to obtain information about the personal data processed concerning you. You may consult your patient record or request a copy of it, which may be subject to a fee. Any potential fees under data protection law, depending on the workload required to produce the copy, will be communicated to you in advance.

Right to data portability

You have the right to have the data that we process automatically or digitally delivered to yourself or to a third party, in a commonly used and machine-readable format. This also applies in particular to the transmission of medical data to a healthcare professional of your choice. Any request for the direct transfer of data to another responsible person can only be fulfilled to the extent technically possible.

Rectification of your data

If you notice or consider that processed data concerning you is inaccurate or incomplete, you may request a rectification. When the accuracy or completeness of your data cannot be established, you have the option of adding a note of contestation.

Links to third-party websites and cookies

Our website may contain links to third-party sites. We are not responsible for the privacy practices or the content of these sites. We encourage you to review the privacy policies of these third-party sites before providing your personal information.

Our website contains cookies that can be adjusted via the cookie manager at the bottom left of our website under “Manage cookie consent”.

Google Maps: to help you find our practices, certain pages display an embedded Google Maps map. This map is practical information necessary to reach us; it therefore loads when the page opens, without waiting for your choice regarding cookies. Google (Google Ireland Limited and Google LLC) may then receive your IP address and technical browsing data, and place its own cookies, according to its own privacy policy (policies.google.com/privacy"). If you prefer not to load the map, the addresses of our sites are written in full on our pages.

Informational emails and letters to professionals

Almaval sends informational emails to individuals who have requested them or with whom it maintains a relationship: healthcare professionals and network institutions subscribed to our lists, patients for service information or a satisfaction survey, staff members, candidates registered in our applicant pool, participants in our training programmes, partners. Professionals who wish to do so can register on the page Subscribe to Almaval updates.

What we process. Your email address, your name if provided to us, your language, the geographical area and professional specialty for professionals, your subscription choices (list, accepted text, date of request and confirmation, date of any withdrawal), and dispatch history. For patients, only the address provided for correspondence and an internal key are used; no informational email contains medical data.

Subscription and withdrawal. Newsletters are sent only after double confirmation: you receive an email with a link, and your subscription is active only after clicking this link. Each optional message contains a one-click unsubscribe link and a link to a page where you can choose your lists, your language, or opt out of receiving anything from us. A written reply requesting unsubscription is applied immediately.

Who writes to you and who reads your reply. Each message is sent from the mailbox of the relevant department (for example contact@almaval.ch for physicians and the healthcare network, qualite@almaval.ch for patient satisfaction). Your reply arrives in this mailbox and, as a copy, solely to the staff members in that department responsible for following up.

Tracking. We never track email opens: no pixels or remotely loaded images. Solely for letters to professionals and internal messages, clicking a link to our website goes through an address of our service that counts the click, then directs you to the requested page; no clicks are tracked in messages sent to patients.

Where and for how long. The database of subscriptions and dispatches is hosted in Switzerland (Zurich region) within Almaval's systems; messages are sent from our professional mailboxes, under the conditions described above for email, without any external dispatch provider. Proofs of subscription and withdrawal are kept for the duration of the relationship and for three years after withdrawal, dispatch history for 24 months, and the talent pool for 12 months without renewal.

Your rights. You may request access to your data, its rectification, or the termination of processing by writing to the address that sent you the message, or to contact@almaval.ch.

Changes to the privacy policy

We reserve the right to modify this privacy policy at any time. Any changes will be posted on this page. We encourage you to consult this privacy policy regularly to stay informed of any changes.

If you have any questions or concerns regarding our privacy policy, you can write to us at qualite@almaval.ch or by post at Almaval, Castel de Bois Genoud, Route du Bois-Genoud 36, 1023 Crissier. Your privacy is important to us, and we are committed to protecting your personal information responsibly.
